Student Services and Formation Units
Student services and formation units are composed of offices that develop and implement sound and functional programs that are geared towards the welfare and holistic formation of the students. They provide invaluable experiences and opportunities for students to mature as individuals, leaders, and community members. More so, their existence contributes to making XU a vibrant and dynamic learning environment.
First Year Formation Program (FFP)
The First Year Formation Program (FFP) is a formation curriculum committed to the Jesuit Education’s thrust of “forming men and women for others.” Through FFP, the first year students and transferees are introduced and emerged to the formation process; oriented to the mission statement of XU; trained to become persons with competence in their fields and who exercise conscience; and committed to the service of God, others, and society.
Started in 1989, FFP was created in order to bring student formation inside the classroom. It is a 3-unit course under the Kristohanong Katilingban sa Pagpakabana – Social Involvement Office (KKP-SIO). Its modules, formation group activities, and outreach programs, fully participated by students and formators are put into practice in consonance with the hallmark of Jesuit education which is to form “Men and Women for Others.”
University Athletics Office (UAO)
Believing in the importance of forming a balanced mind and sound body, the University Athletics Office (UAO) develops and implements sports programs that are in accord to attaining the students’ holistic development.
Students are encouraged to participate during the intramurals and other sports programs initiated and generally managed by UAO. Only bona fide students may represent the University in inter-collegiate and other sports events organized or participated by the University. Students on academic probation may not be allowed to play varsity sports during their probationary period. Sportsmanship, fair play, and team work must be strictly emphasized in all athletic events.
UAO manages and facilitates the reservation of sports facilities (Gymnasium, Covered Courts, and Football Field). The office also supervises and regularly evaluates the Athletics Scholarship Program in coordination with the Office of Scholarships and Financial Aid (OSFA). The said scholarships provide financial assistance to deserving varsity athletes who represent the University in sports-related functions.

Finance Office
One of the most important offices in the University is the Finance Office. Generally, it handles the financial operations of the University and is headed by the University Treasurer.
Some guidelines are implemented in order to ensure systematic procedures in the processing of fees, requests, and other processes at the Finance Office.
1. Assessment and Billing. After the period allowed for enrolling and the changing, dropping, or adding of subjects, the Finance Office assesses the total tuition, matriculation, and fees due for each student. Additional charges may also be posted to the student’s account anytime. For example: a student who was not able to have his/ her enrollment validated within the regular registration week will be penalized with Php 100.00; students who enroll during the delayed registration week will also be billed with a delayed registration fee of P 100.00; there may also be penalties for lost/ damaged forms, among other possible charges.
Copies of the Assessment and Billing Ledger should be secured and reviewed by the student at least once every school term. Requests for clarifications and/ or adjustments should be immediately referred to the Assessments In-Charge at Window 10 of the Finance Office.
A student’s account may be paid in full at one time or in installments. The minimum installments due should be paid before each major examination (preliminary, mid-term, semi-final, and final) as such payment is required to secure clearance for exams. The schedule of fees and the schedule of examinations are normally posted and made public before each academic year.

2. Payment Processing. XU Finance Office is open to service payments from 8:30 am to 12:00 NN and from 1:00 PM to 4:30 PM on Mondays to Fridays & from 8:30 AM to 11:30 AM on Saturdays, except on non-working holidays. Extended servicing schedules for Enrolment, Mid-term, and Final Exam Periods are announced separately. Windows 2-5 of the Finance Office accept cash payments. Windows 1 and 12 accept payments in either cash or check.
Payments can also be made over the counter at the Philippine National Bank (Corrales Branch), Chinabank (Divisoria Branch) and any branch of Robinson’s Bank, or through ATM, Internet or Telephone through Bank of the Philippine Islands. Payments which are to be remitted directly to the school from overseas should be advised/ coordinated in advance with the Office of the University Treasurer. Official receipts/ confirmation for payments made through banks and other channels may be requested at Window 6 of the Finance Office.
Official Receipts or validated copies of deposit slips should be secured as proof of payment.
3. Check Payments. On-date local and regional checks made out to Xavier University are accepted as payment except:
a. as final payment in order to secure a permit to Final Exams; (the cut-off date for acceptance of check payments is announced before the end of each term)
b. as payment of an overdue account;
c. when clearance to secure school records is immediately required;
d. when the student’s account has a history of dishonored/ returned items.
Should a check be dishonored by the bank, it must be replaced with cash within seven days of the payment. Otherwise, a penalty of 500.00 will be posted to the student’s account.
4. Full Payment Discount. A student who pays in full after the total of tuition and fees is determined but before the first installment becomes due is automatically entitled to a 3% discount on tuition, matriculation and laboratory fees.
5. Family Discount. Unmarried siblings and parents enrolled in the University at any level shall be entitled to a family discount on tuition on a graduated scale depending on the number of students provided that a notarized claim for Family Discount is submitted to the XU Finance Office not later than one week before the Mid-term Examinations.
6. Withdrawal Penalties. A student who withdraws his/ her enrolment “for whatever reason” shall be charged:
Before the opening of classes - Registration Fee
Within the 1st week of classes - 10% of the total amount due for the term
Within the 2nd week of classes - 20% of the total amount due for the term
Within the 3rd week of classes - 30% of the total amount due for the term
After the 3rd week of classes - 100% of the amount due for the term.
For the summer term, as one week of classes is equivalent to three weeks of the regular semester, withdrawal must be made within the first week of classes in order not to be billed the cost for the whole summer term.
The withdrawal request must be made in writing and should be acknowledged and approved by the University Registrar.
7. Refunds. Overpayments, breakage deposit and other similar refunds may be requested from Window 10 of the Finance Office at the main campus and is payable in check to the parent/ guardian specified in the student’s records. Otherwise, unclaimed credits shall remain in the student’s account and will be considered as an advance towards future fees.
University Book Center
The University Book Center exists to provide the students, faculty, and staff the resources they need for academic and office work. The following are the some of the services offered by the Book Center.

XU Confederated Parents-Faculty Association (XUCPFA)
XU Confederated Parent-Faculty Association (XUCPFA) is a highly institutionalized body composed of parents and faculty members of the University. Its purpose is to promote and protect the interests of the faculty and students and constitute a harmonious University environment.
Programs and Services
1. Scholarship Program. In consonance with XU’s social commitment, XUCPFA offers scholarships to young, poor, and deserving high school graduates in Region X. Every year, a number of scholars from the seven undergraduate schools and colleges of the University enjoys four to five-year full tuition scholarships.
2. Student Loan Fund. This program provides financial assistance to students who cannot meet the scheduled payment of tuition fee. The maximum allowed amount for borrowing is Php 2,000.00 (applicable only for prelims and midterm exams). Application is processed at the XUCPFA office.
3. Reach-out/ Alay Kapwa Program. In line with XU’s commitment to provide the needs of the community, XUCPFA gives assistance to indigent families and to the House of Hope in Lumbia, Cagayan de Oro City. These activities are done in August and December of each year.
4. Mortuary Aid. XUCPFA extends financial assistance to the family of any XU College parent, faculty, or student in times of need.
5. Student Development Fund. This program looks into the development and enhancement of potentials of bona fide college students through participation in extra-curricular activities. Financial assistance is provided to any requesting extra- curricular organization through CSG, subject to availability of funds.
6. Parents and Faculty Assistance. This program provides financial assistance to bona fide members and staff of XUCPFA for medical and emergency needs.
7. Student Security Assistance. Students’ security on campus and on immediate premises is one of the concerns of XUCPFA. As such, XUCPFA coordinates and collaborates with the University for Security Measures in support to XU’s Security Program.
8. Insurance Claims. XUCPFA facilitates prompt processing of student insurance claims in close coordination with the Central Student Government and the XU Administration. The following are the coverage and indemnities for the school year.

In addition to the terms and conditions enumerated in the insurance policy, the insurance company also warrants & guarantees the following:
a. The policy provisions cover the insured for 24 hours, 365 days a year anywhere in the world, in business or pleasure.
b. Motorcycling risk coverage is included (whether as driver or passenger of 2 or 3-wheeled vehicle).
c. Policy provisions cover the insured while riding as a passenger of any sea vessel or commercial airline on a regularly scheduled flight.
d. Policy provision covers military/ PNP/ BFP/ BJM personnel who are presently enrolled students of XU and who met an accident during the term of the policy; except for incidents occurring whilst in the line of duty.
e. Policy provisions cover ROTC student cadets of the University, who while doing related exercises/ activities outside the school premises were misidentified as military personnel and ambushed.
f. Policy provisions cover enrolled University students who are victims of natural calamities (earthquake, typhoon, flood, volcanic eruption, and the like).
g. Policy shall cover the following activities, only if the activity is subject to the supervision of a person duly authorized by the University, and that the said activity is a scheduled official event of the University.
h. Scuba Diving accidents for marine Biology students of the University
i. Mountaineering/ climbing accidents for the members of the University Mountaineering Society
j. Policy provisions cover suffocation by smoke and poisonous fumes, accidental poisoning, and drowning.
k. Policy provisions cover animal and insect bites, including Dengue cases (for Hospital Cash Assistance).
l. Policy provisions cover the enrolled persons starting at Day 1 of the Policy Effectivity Date.
